MoneyGram is committed to safeguarding the personal data we gather about our prospective, current, and former employees (“you” or “employees”). As a MoneyGram employee (or prospective employee), you understand and acknowledge that we collect, use and disclose your personal data in accordance with this Employee Privacy Notice (“Notice”). We will update this Notice from time to time as our personal data practices and procedures evolve.


Scope of this Privacy Notice:  This Notice applies to MoneyGram employees – including applicants to become MoneyGram employees – globally.


This Notice applies to personal data of MoneyGram employees and to the use of that personal data in any form – whether oral, electronic, or written.


As mentioned above, references to “MoneyGram,” “we,” and “our” throughout this Notice refers to the specific MoneyGram entity with which you have or may have an employment relationship. Your personal data may be shared with other MoneyGram entities for administrative purposes.


This Notice describes the broadest range of our personal data processing activities globally. However, our processing activities may be more limited in some jurisdictions based on the local law. For example, if local law limits the type of personal data we can collect or how we process personal data, we adjust our internal policies and/or practices to reflect those local requirements.


If there are inconsistencies between the English version of this Notice and another language version of this Notice, the English version will apply (subject to applicable local law requiring that the local language applies).


This notice does not form part of an employee’s contract of employment or a consultant’s terms of service. 


Personal Data:  Personal data means information that identifies you, or can be used to identify you, as an individual.

For purposes of this Notice, personal data means any information that identifies you, or can be used to identify you, as an individual. The types of personal data we process may vary by jurisdiction based on local law and the nature of your position and duties. Personal data may include:


  • name, gender, home address and telephone number, date of birth, image, biometric information, marital status, emergency contacts;
  • residency and work permit status, military status, nationality and passport information;
  • social security or other taxpayer identification number, banking details;
  • sick pay, pensions, insurance and other benefits information (including the gender, age, nationality and passport information for any spouse, minor children or other eligible dependents and beneficiaries);
  • date of hire, date(s) of promotions(s), work history, technical skills, educational background, professional certifications and registrations, language capabilities, training courses attended;
  • records of work absences, vacation entitlement and requests, salary history and expectations, performance appraisals, letters of appreciation and commendation, and disciplinary and grievance procedures (including monitoring compliance with and enforcing MoneyGram policies);
  • where permitted by law and proportionate to your function, the results of credit and criminal background checks, the results of drug and alcohol testing, screening, health certifications, driving license number, vehicle registration and driving history;
  • information required to comply with laws and requests and directions of law enforcement authorities or court orders (e.g., child support or debt payment information);
  • acknowledgements regarding MoneyGram policies, including ethics and/or conflicts of interest policies and computer and other corporate resource usage policies;
  • information captured on security systems, including CCTV and key card entry systems and other security and technology systems and photographs, to the extent permitted by applicable law;
  • voicemails, emails, correspondence and other work product and communications created, stored or transmitted by you using MoneyGram’s computer or communications equipment;
  • date of resignation or termination, reason for resignation or termination, information relating to administering termination of employment (e.g., references); and
  • any other relevant data that could be necessary to comply with MoneyGram’s legitimate business purposes.

How We Collect Personal Data:  We collect personal information directly from you, and from other sources.


We collect personal data directly from you, for example when you apply to become a MoneyGram employee and provide your work history. We also collect personal data about you indirectly from other sources, such as public databases to confirm your qualifications or check your references. When permitted or required by applicable law or regulatory requirements, we may collect personal data about you without your knowledge or involvement (e.g. during a government investigation).


We reserve the right to monitor our premises, equipment, devices, computers, network, applications, software, and other MoneyGram assets and resources. Our monitoring may result in our collection of your personal data.


There may be instances in which the personal data that you provide to us or we collect is considered sensitive under the privacy laws of your country. Sensitive data might mean personal information from which we can determine or infer your racial or ethnic origin, political opinions, religious beliefs or other beliefs of a similar nature, membership in a trade union or professional association, physical or mental health or condition, genetic data, sexual life or judicial data (including information concerning the commission or alleged commission of a criminal offence). We only knowingly collect and process sensitive personal data if and to the extent permitted by applicable law.


Unless otherwise stated, all personal data we request from you is obligatory. If you do not provide and/or allow us to process all obligatory personal information as requested, we will not be able to keep complete information about you, which may affect our ability to interact with you as an employee.


Reasons & Purposes We Use Personal Data:  We collect and use your personal data to manage and administer our employment relationship with you.

We collect, use, and disclose personal data about employees for a variety of reasons, including to:

  • evaluate applications for employment;
  • manage all aspects of our employment relationship with you, including, but not limited to, payroll, benefits, corporate travel and other reimbursable expenses, development and training, absence monitoring, performance appraisal, disciplinary and grievance processes and other general administrative and human resource-related processes;
  • develop personnel and succession plans;
  • maintain health records and occupational health programs;
  • investigate and respond to claims against MoneyGram, its employees or its business practices;
  • conduct employee opinion surveys and administer employee recognition programs;
  • administer termination of employment and provide and maintain references;
  • maintain emergency contact and beneficiary details (which means that MoneyGram will maintain information on those you nominate in this respect); and
  • comply with applicable laws (e.g., health and safety), including judicial or administrative orders regarding individual employees (e.g., garnishments or child support payments).

We may use Closed Circuit Television (CCTV) cameras in and around MoneyGram properties, which, depending on local law, may be used:

  • to prevent and detect crime;
  • to protect the health and safety of MoneyGram employees;
  • to manage and protect MoneyGram property; and
  • for quality assurance purposes, to the extent permitted by applicable law.

We may use “Secret Shopper” or “Mystery Guest” programs, to monitor the quality of our customer service. This may include use of your personal data.
We may keep certain personal data after your employment ends for residual aspects of the purposes set out above, and to comply with accounting, tax rules, regulations and any record retention laws.

How We Share Your Personal Data:  We share your personal data to manage and administer our employment relationship with you.

We share your personal data with human resources staff, managers, consultants, advisers and other appropriate persons for the purposes outlined above.
We share your personal data with third parties that provide processing services for us, such as payroll processors and health benefit providers.


We may share your personal data with third parties if we engage in discussions in the context of a merger or acquisition with another company.


We may share your personal data as required by law, if we are compelled to do so by a court of law or governmental entity, or if we determine it is necessary or desirable to comply with the law or to protect or defend our rights or property in accordance with applicable laws.


Jurisdiction and Cross-Border Data Transfers:  MoneyGram is based in and operates from the United States. When you interact with us, your information may be sent to a country other than your own, including the United States, for processing and storage.


We will share your personal information with other MoneyGram entities as part of our regular reporting activities on company performance, in the context of a business reorganization or group restructuring exercise, for system maintenance support, and for data hosting purposes.


MoneyGram is based in and operates from the United States. When you interact with us, you understand and agree that your personal data may be transferred to the United States, or a different country other than your own, for processing and storage. You also understand and agree that data protection rules of other countries may be different from those of your country.  In certain circumstances, courts, law enforcement agencies, regulatory agencies or security authorities in those other countries may be entitled to access your information. Personal data collected in the European Economic Area is controlled by MoneyGram International SPRL in Brussels, Belgium. MoneyGram maintains adequate measures approved by the European Commission for the international transfer of personal information collected in the EEA and Switzerland to ensure that your personal information is treated by those third parties and entities outside the EU in a way that is consistent with and which respects the EU laws on data protection. Your Rights:  You have certain rights to the personal data we collect and maintain about you.

You can review, correct, update, suppress, restrict or delete personal information that you have given to us, or receive an electronic copy of your personal information to transmit it to another company (to the extent provided to you by applicable law), by contacting your Human Resources Business Partner.


We will respond to your request without undue delay.  For your protection, we may need to verify your identity before implementing your request. 
Please note that we may need to keep certain information for recordkeeping purposes or for regulatory compliance. There may also be residual information that will remain within our databases and other records, which will not be removed.


Our Information Security:  We are committed to protecting the personal data we collect.


We use reasonable organizational, technical and administrative measures to protect personal and other information. If you have reason to believe that your interaction with us is no longer secure, please contact us immediately.
